About Us Passport Services

A ) General guidelines regarding Passports :

  1. Please note that from 23 June 2014 it is mandatory for a passport applicant to fill the passport application online and to submit a signed copy of the application along with the requisite documents at the Embassy. The application would be processed for issue of a Machine Readable Passport.

  1. Your Passport is a valuable document. It should always be either in your own custody or in the custody of a person duly authorized by you.

  1. Passports should not be sent out of the country of residence by post.

  1. If the Passport is lost or destroyed, the facts should be immediately reported to the Indian Mission and the local police.

  1. If you have acquired citizenship of any other country, you are requested to surrender the Indian passport to the Embassy of India, Manila. The Indian passport is returned to the applicant after cancellation and a Surrender Letter is issued. The cancelled Indian passport should be kept in safe custody with you as it may be required at the time of applying for the OCI card.

  1. All are suggested to scan all pages of their passport, visa, stay permit, local ID cards etc and store them on their personal USB flash drives, external hard drives, laptops or on their email addresses for easy access in case of lost or misplaced travel documents. Without these details, the issue of a duplicate passport may get delayed.


B) Guidelines for Passport applicants :

1. Please note that it is an offense under the Passports Act 1967 to furnish false information in the Passport application form. Passport facilities can be denied on grounds of suppression of factual information, submission of false particulars, wilful damage of passport and for making unauthorized changes in the passports.

2.
Incomplete/incorrect applications, applications with inadequate fee/fee not paid in the prescribed manner will be returned without any service.

3.
The application must be signed by the applicant himself/herself.

4.
Dimensions of photographs required for Machine Readable Passports : Square size of not less than 2 x 2 inches (51 mm x 51mm); high quality colour and glossy paper; light background; face covering 80 % of the photo.  Please see photo requirements with samples at (click here)

5. Please note that the photocopies of all the documents submitted along with the application form should be self-attested (Signed by the applicant)

6.
In the case of Indian nationals applying from the Philippines, Republic of Palau and the Federated State of Micronesia, the Passports are currently printed and issued from India. These Passports are further received by the Embassy for further delivery to the applicant concerned.

7.
The whole process for issuing of a passport may take around 15 working days.

8 .It may take more time to process the passport application in case where the clearance is awaited from Other Indian Missions/ Passport Offices.

9.The applications for such passports are required to be submitted to the Embassy of India, Manila well before the date of expiry of the existing passports.

Change in address in India : Proof of change of address in India, if applied for inclusion in fresh passport.

2.
If married and Name of Spouse is not yet included in previous passport, but the applicant applies for such inclusion in the new Passport :

a) Original Marriage Certificate with photocopy authenticated by NSO and DFA in the case of marriage solemnized in the Philippines or Ministry of External Affairs, New Delhi in the case of marriage solemnized in India

b) Joint Affidavit (from husband and wife) to be sworn before the Consular officer Download Affidavit

c) Joint Photo (during the marriage).

d) Copy of Affidavit of Legal Capacity (for Filipino wife only)

e) Valid ID of spouse

3. In case more than one year has elapsed since the expiry of the Passport : An affidavit in the prescribed format stating that he/she has not acquired Filipino nationality along with a letter from DFA confirming the same. (Download Affidavit). This may be sworn before the Consular Officer.

Affidavit for change of appearance (Download Affidavit).

Note :

  • In normal cases passport is issued after 15 working days of receipt of application at the Embassy.

  • In respect of renewal / re-issue of passport of a minor , either of the parents or guardian has to submit the application along with originals of all the documents of the minor which would be returned back to them after acceptance of application

  • Please note that the photocopies of all the documents submitted along with the application form should be self-attested (Signed by the applicant)

OR Photocopy of lost passport (Front and Back) and other relevant pages with Philippine visa endorsement. (FOR LOST PASSPORT)

Original I-Card - ACR/ ICR with photocopy (valid)

Police Report on letter head.

6.
Sworn Affidavit for LOSS/DAMAGE (from the applicant) available at the counter/website and sworn before the Consular Officer (Download Affidavit).

7.
Joint Affidavit from 2 Indian witnesses (stating that they have the knowledge regarding the lost/damage passport and certifying applicant’s identity and Indian nationality).

8.
Passport photocopies of 2 Indian witnesses (with latest arrival).

9.
Photocopies of ACR/ICR – I-card of 2 Indian witnesses with photocopies.

10.
Letter from the employer certifying applicants identity and Indian nationality

3. Passport for a newly born child

For a child born in the Philippines and Federated States of Micronesia, Palau and Marshal Islands to be registered as an Indian citizen , the application must be made within one year of the child’s birth on the prescribed form . In case the child is above one year, the case will be referred to the Ministry of Home Affairs, Government of India for clearance. Birth will be registered and Indian passport issued on receipt of clearance.

An affidavit needs to be submitted by the parents stating the reason why the child was not registered within one year of birth and that the child has not acquired citizenship of any foreign country. If one of the parents is a foreign national, parents will produce a letter from the Department of Foreign Affairs confirming that the child has not acquired citizenship of that country. Embassy (Consular Section) may be consulted for additional application requirements.

Documents required :

1.On-line Passport Application: http://portal6.passportindia.gov.in - The passport application should contain the thumb impression of the child and should be signed by both the parents (Col No 28 regarding declaration by parents).

3.Original Passports of the parents with photocopy of relevant (photo page, first and last page, Philippine visa page) of both parents

4.
Original I-Card - ACR/ ICR with photocopy (valid) of both parents.

5.Original Birth Certificate authenticated by NSO (main office, printed in security paper) and DFA with photocopy.

Additional Documents Required : (In addition to the documents mentioned above)

  1. The name of parents MUST be included in both passports (Passports of parents), IF NOT, they MUST apply for such an inclusion :

a) Original Marriage Certificate with photocopy authenticated by NSO and DFA in the case of marriage solemnized in the Philippines or Ministry of External Affairs, New Delhi in the case of marriage solemnized in India

b) Joint Affidavit (from husband and wife) to be sworn before the Consular officer Download Affidavit

c) Joint Photo (during the marriage).

d) Copy of Affidavit of Legal Capacity (for Filipino spouse only)

e) Valid ID of spouse

Note : The name of the parents should be the same as on the Birth Certificate of the child.

Processing time : 15 working days
